Polices

General Policies
Booking: 

  • All sessions must be booked at least 24 hours in advance.

Start/End Times: 

  • Sessions begin and end at the scheduled time, regardless of client arrival.
  • If a client arrives 15 minutes or more after the scheduled start time, the session is considered a “no-show” and is forfeited. A “no-show” is defined as arriving 15 minutes or more after the scheduled start time or failing to attend without prior notice.

Cancellation/Reschedule:

  • 24 + hours in advance→ session credit remains.
  • Within 24 hours→ session is forfeited.
  • No-Shows:Full session fee is charged.

Packages:

  • 8 Session Packages and under expire in 3 months from date of purchase.
  • 12+ Session Packages expire in 4 months from date of purchase.
  • 30-minute sessions are offered during designated booking windows and may require back-to-back scheduling.
  • Packages are non-refundablebut may be transferred to another client.
  • Package transfers must be approved in advance and completed within the original expiration period.
  • Unlimited Monthly Passes are non-refundable.
  • Unlimited Monthly Pass cancellation is due in writing to members@rhapsodyfitness.comno later than 15 days prior to the renewal date.
  • Access to the Unlimited Monthly Pass remains active through the end of the current billing cycle.
  • All sessions must be paid before class begins.

Freeze Option: 

  • You may pause a package once per year for up to 2 weeks (illness, travel, etc.).
  • Freeze requests must be submitted in writing to alan@rhapsodyfitness.com at least 5 days prior to the pause period and cannot be applied retroactively.

Travel Premiums: 

  • An additional $20 Travel Premium applies to Seabrook Island, Kiawah Island, Isle of Palms, Summerville and Nexton. (this fee is waived for back-to-back bookings).

Weather Policy:

  • Light rain = session continues.
  • Heat index >105°F = session is modified or rescheduled.
  • Severe weather (storms, flooding, high winds) = session is rescheduled or credited. If reschedule isn’t possible, credit rolls forward.
  • All weather cancellations will be confirmed no less than 1 hour before start time through SMS, email and social media for community group classes.
  • Clients are responsible for monitoring email and SMS communications regarding schedule updates, weather changes, or location details.

Training:

  • All participants must be confirmed in advance.
  • If one person cancels, the session continues at the scheduled time with remaining participants.
  • Package Pricing is per person; missed attendance = forfeited session.
  • Semi-Private Training requires a minimum of 2 people to run session.
  • Small Group Training requires a minimum of 5 people to run session.
  • If fewer than 4 register for Small Group Training, session may be rescheduled or combined with another group.
  • Drop-ins are welcome in Semi-Private, Small Group and Community Group Classes if space allows.
  • Reservation required at least 2 hours before all Community Group Classes.
  • Community Group Class may be canceled if a minimum of 9 registered participants is not met.
  • Rhapsody Fitness reserves the right to substitute coaches when necessary to ensure session continuity.

Safety:

  • Clients and Coach are responsible for ensuring a safe training space free of hazards. Rhapsody Fitness reserves the right to modify or cancel a session if the environment is deemed unsafe.
  • Clients are responsible for disclosing injuries, medical conditions, or limitations prior to training.
  • Last-minute location changes may require rescheduling if they significantly impact travel time or logistics.
  • Clients are responsible for securing appropriate access, parking permissions, and approvals for private or residential locations.
  • Rhapsody Fitness is not responsible for service disruptions caused by events beyond reasonable control.
  • Rhapsody Fitness maintains a respectful, inclusive environment. Inappropriate, unsafe, or disruptive behavior may result in removal from a session without refund.

Corporate Wellness:

  • Operate under monthly contractsbilled at the beginning of each month.
  • Missed employee attendance does not alter pricing.
  • Reschedules allowed with at least 72 hours’ notice(pending availability).

Nutrition Coaching:

  • Conducted virtually. Weekly check-ins via video/phone.
  • Monthly billing, auto-renews unless canceled with 15 days’ notice of renewal.

Remote/Hybrid Programming:

  • Delivered via True Coach.
  • Monthly subscription, cancel anytime with 15 days’ notice before renewal.

Marketing & Policy Updates:

  • Rhapsody Fitness may capture photos or video during sessions for marketing purposes. Clients may opt out by notifying the coach in advance.

Rhapsody Fitness reserves the right to update policies with reasonable notice. The most current version will be available on our website.
